Last updated: June 2025

Overview

The Data (Use and Access) Act 2025 (DUAA 2025) requires Known Design AI Ltd to operate a formal, published data protection complaints process that is accessible to all data subjects.

This process is also described in our Privacy Notice. If you have a concern about how we handle your personal data, we encourage you to contact us directly in the first instance — we take all data protection complaints seriously and are committed to resolving them promptly and fairly.

How to Submit a Complaint

If you believe your personal data has been handled incorrectly or your rights as a data subject have not been respected, you can submit a complaint to us at any time.

Contact: 📧 complain@knowndesign.ai
Subject line: Data Protection Complaint

Please include as much detail as possible about your concern, including your name, contact details, and a description of the issue.

Our Complaints Procedure

Once we receive your complaint, we follow a clear, step-by-step process:

Step 1 - Acknowledgement
We will acknowledge your complaint within 5 working days of receipt and provide you with a unique reference number for tracking purposes.

Step 2 - Investigation
We will thoroughly investigate the matter and provide you with a full written response within 30 calendar days of receiving your complaint.

Step 3 - Extension (if required)
Where your complaint is complex, we may extend the response period by a further 30 calendar days. If this applies, we will notify you in advance, explaining the reason for the extension.

Step 4 - Resolution
We will communicate our findings and any steps we have taken or will take in response to your complaint.

Escalating to the ICO

If you are not satisfied with our response, or if you would prefer not to raise your complaint with us directly, you have the right to refer your complaint to the Information Commissioner's Office (ICO) at any time.
